Project Overview

Timesheet X is a lightweight mobile application designed for small businesses in the UK that still rely on spreadsheets to track employee working hours. Rather than investing in complex HRMS or ERP software, many small teams simply need a reliable way to record attendance and generate accurate timesheets.

The project was initiated by an independent developer who recognized this everyday challenge. Together, we designed a simple, user-friendly solution that enables employees to clock in, manage breaks, edit incorrect entries, and export weekly or monthly reports in Excel or PDF format. The first release focuses on delivering the essential time-tracking experience with a clean interface and an intuitive workflow, making it accessible for both Android and iOS users.

Problem Statement

Small businesses needed a faster and more reliable way to track employee working hours without the complexity or cost of a full HRMS. Existing Excel-based workflows were time-consuming, prone to errors, and difficult to manage consistently.

My Contribution

As the Product Designer, I led the end-to-end design process for Timesheet X, working closely with the developer to transform a real-world business problem into a simple and intuitive mobile experience. Having prior experience designing HRMS and ERP products gave me a strong understanding of attendance tracking, workforce workflows, and time management systems. This background helped me quickly identify user needs and create familiar, efficient interactions while keeping the product intentionally lightweight.

From discovery to high-fidelity prototypes, I focused on building an experience that was easy to learn, fast to use, and scalable for future enhancements. The complete design process, including user flows, wireframes, visual design, design system, and interactive prototypes, was completed over the course of 2–3 months through close collaboration with the developer.

Understanding the Problem

The project started with a simple observation: many small businesses in the UK were still relying on spreadsheets to track employee working hours. While enterprise HRMS and ERP platforms offered comprehensive workforce management, they were often too complex and costly for teams that only needed basic attendance tracking and timesheet generation.

Through discussions with the developer and by reviewing existing workflows, we identified an opportunity to replace manual Excel-based processes with a lightweight mobile application focused on simplicity, speed, and accuracy.

Reflection

Designing Timesheet X reinforced an important product design principle: solving one problem exceptionally well can be more valuable than building a feature-heavy application. By focusing on simplicity, usability, and real user workflows, we delivered an MVP that addresses the everyday needs of small businesses while creating a solid foundation for future enhancements.
